[Rentel, Inc.] (“Rentel,” “we,” “us,” or “our”) provides an AI-powered asset intelligence platform that helps independent residential real estate investors gain visibility and control over their properties, including transparency into property manager activity and benchmarking of repair and maintenance costs. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit www.userentel.com (the “Site”), use our applications, or otherwise access our products and services (collectively, the “Services”).
This Privacy Policy applies to information we process as a business about visitors, account holders, beta participants, and other individuals who interact with the Services. Please read it carefully. By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with our practices, please do not use the Services.
This Privacy Policy does not apply to information that our customers, such as landlords or their representatives, choose to handle outside of the Services, or to third-party websites or services that we do not control. Where Rentel processes personal information on behalf of a customer as part of providing the Services, the customer's own privacy practices may also apply.
2. Information We Collect
We collect information in three ways: information you provide to us directly, information we collect automatically when you use the Services, and information we receive from third parties.
2.1 Information You Provide to Us
- Account and contact information. Your name, email address, phone number, password, and business or company name when you create an account, join our waitlist, or participate in our beta program.
- Property and portfolio information. Property addresses, unit counts, property characteristics, ownership details, lease terms, and other information about the assets you manage through the Services.
- Property manager information. The names and contact details of the property managers you work with, management agreements, fee structures, and communications or records you upload relating to them.
- Financial and operational records. Repair and maintenance costs, invoices, vendor statements, rent and payment records, and similar information you enter or upload so that we can generate insights and benchmarks.
- Documents and uploads. Files you submit to the Services, such as invoices, statements, contracts, work orders, and photographs.
- Communications. Information you provide when you contact us for support, respond to surveys, provide feedback, or otherwise communicate with us.
- Payment information. When paid plans are offered, payment is processed by a third-party payment processor. We do not store full payment card numbers; we receive limited transaction information such as confirmation of payment and the last digits of the card.
2.2 Information We Collect Automatically
When you use the Services, we and our service providers may automatically collect certain information, including:
- Usage data. Pages and features you view, actions you take, dates and times of access, and other interactions with the Services.
- Device and log data. IP address, browser type, operating system, device identifiers, referring URLs, and similar technical information.

2.3 Information We Receive from Third Parties

- To provide, operate, and maintain the Services, and to create and manage your account.
- To generate asset insights, repair and maintenance cost benchmarks, property manager transparency reporting, and other analytical outputs that are core to the Services.
- To develop, train, test, and improve our features, models, and analytics, as further described in Section 4.
- To personalize your experience and present information relevant to your portfolio.
- To communicate with you, including sending service-related messages, responding to inquiries, and (where permitted) sending product updates and marketing communications you can opt out of.
- To process transactions and administer paid plans.
- To monitor and protect the security and integrity of the Services, prevent fraud and abuse, and enforce our terms.
- To understand how the Services are used through analytics and research.
- To comply with legal obligations and respond to lawful requests.
4. Artificial Intelligence and Automated Processing
Rentel uses artificial intelligence and machine learning to analyze the information available in the Services and to generate insights, such as repair-cost benchmarks and property manager transparency reporting. This section explains how that processing works.
- Third-party AI providers. We may use third-party artificial intelligence service providers to help process information and generate outputs. These providers act as our service providers and are subject to contractual obligations limiting how they may use the information.
- Use of your information to improve our models. We may use information you provide to develop and improve our analytics and models. Where we use information for model development and benchmarking beyond your individual account, we work to do so using aggregated or de-identified information, as described in Section 6.
- Benchmarking. Repair-cost and operational benchmarks are generated using aggregated and de-identified information drawn from across our user base and from third-party data sources. Benchmarks are designed so that they do not reveal the personal information or confidential records of any individual user.
- Nature of outputs. Insights, benchmarks, and other outputs of the Services are informational and are provided to support your own decision-making. They are not legal, financial, tax, or professional advice, and you remain responsible for decisions you make based on them.
5. How We Disclose Your Information
We do not sell your personal information. We disclose information only in the circumstances described below:
- Service providers. We share information with vendors and service providers that perform services on our behalf, such as cloud hosting, data storage, payment processing, analytics, customer support, email delivery, and AI processing. These parties are authorized to use the information only as necessary to provide services to us.
- At your direction. We share information when you ask us to, including when you choose to share reports or records with a property manager, advisor, or other person.
- Aggregated and de-identified information. We may share aggregated or de-identified information that cannot reasonably be used to identify you, as described in Section 6.
- Legal and safety. We may disclose information if required to do so by law or in response to valid legal process, or where we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or respond to a government request.
- Business transfers. If Rentel is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to the commitments in this Privacy Policy.
- With your consent. We may share information for other purposes with your consent or at your direction.
6. Aggregated and De-Identified Information
We may create aggregated, anonymized, or de-identified information from the data we process, including for the repair-cost and operational benchmarking that is central to the Services. This information does not identify you and is not treated as personal information. We may use and disclose such information for any lawful purpose, including to operate, evaluate, and improve the Services, to produce benchmarks and market insights, and for research and analytics. Where we hold information in de-identified form, we maintain it without attempting to re-identify it, except as permitted by law to test our de-identification processes.
7. Cookies and Tracking Technologies
We and our service providers use cookies and similar technologies to operate and secure the Services, remember your preferences, understand usage, and improve performance. Some cookies are necessary for the Services to function, while others are optional. You can usually control cookies through your browser settings, though disabling certain cookies may affect how the Services work. We honor recognized browser-based opt-out preference signals where required by applicable law.
8. Data Retention
We retain personal information for as long as necessary to provide the Services, maintain your account, comply with our legal obligations, resolve disputes, and enforce our agreements. When personal information is no longer needed, we take steps to delete it or to de-identify it. Retention periods vary depending on the type of information and the purpose for which it was collected.

13. Children's Privacy
The Services are intended for businesses and adults and are not directed to children. We do not knowingly collect personal information from children under the age of 16. If we learn that we have collected personal information from a child without appropriate consent, we will take steps to delete it.
